Sharing Meetings
Share recordings, transcripts, and AI summaries with your teammates or external stakeholders.

Internal sharing allows anyone in your Harmony workspace with the correct permissions to view the meeting.
- Open the meeting you want to share.
- Click the Share button in the top-right corner.
- Click Copy link to copy the URL to your clipboard.
- Paste the link into Slack, email, or your project management tool.
Recipients must be logged into your Harmony workspace and have the appropriate "Read" permissions assigned to their role to view the content.
Export and share as PDF
If you need to share meeting details with someone outside your workspace, or if you prefer a portable format, you can export a PDF.
- Open the meeting detail view.
- Click the Export button in the top-right corner.
- Select PDF.
- The generated file will include the meeting title, date, participants, AI summary, action items, and the full transcript.
What gets shared?
When you share a link or a PDF, the following data is included by default:
- Recording: The original video or audio file (link only).
- Transcript: The full text of the conversation with speaker labels.
- AI Summary: The high-level overview and key topics.
- Action Items: Tasks and follow-ups identified by Harmony.
Permissions and access
Meeting visibility is governed by your workspace's Role-Based Access Control (RBAC).
- Private access: By default, meetings may only be visible to the recorder or their specific team.
- Admin access: Workspace admins can adjust roles to allow "Read: All" access if the whole company needs to see every meeting.
- Revoking access: If you delete a meeting or remove a user from the workspace, they will immediately lose access to all shared links.
Harmony cannot revoke access or track who views a PDF once it has been downloaded and sent.
Troubleshooting
Recipient sees a "404" or "Access Denied" error
The recipient is likely not logged in or doesn't have the required permission scope (Own vs. Team vs. All) to view that specific meeting. Ask your Admin to check their Role settings.
PDF is missing the transcript
Ensure the meeting has finished processing before exporting. If the transcript is still being generated, the PDF may only show the metadata and summary.
